RECIPIENTS AND LIST MANAGEMENT
Users can manage subscriptions and unsubscriptions automatically, with the possibility to keep track of unsubscribers and therefore not including them in future mailings.
The administration is notified by email each time one of the contacts unsubscribes by clicking on the automatic unsubscription link.
Users can create endless independent LISTS. Each one includes it’s own email contacts, it’s own emails, it’s own statistics and is completely personalised. It’s a bit like having many different MailUp all in one, with no extra costs. This feature enables users to manage different portals or, in the Agency’s case, different clients.

Users can create everlasting Target Groups to whom they can send different messages (e.g. Top Customers, Retailer XY, Prospective Customers). Each user may be registered with several different groups at the same time, although the user will receive only one message for each sending action.

There’s an “opt-out” User List, which lists unsubscribed users: this list is exportable and contains the unsubscription date (in compliance with privacy laws requirements).
Complete listing of personal data, with fully adjustable dynamic fields in the set-up phase (e.g. First Name, Last Name, Gender, Postal Code, Address, Mobile Phone Number…)
Users can integrate the DB on MailUp with their own contact lists, in order to send their offers to target groups already pre-defined on the e-commerce/web system.
E-mail verification feature, where subscription requests are handled through email (double opt-in) in compliance to the law. By connecting to destination servers, incorrect or non-existing addresses are displayed for checking and correction; this feature can be fully customised through the web and by HTML graphic formatting.
Easy Import/Export of users’ personal data and email lists to customize personal data fields. All personal data fields can be dynamic (i.e. can be replaced by a dynamic tag in the sent message).
Easy management of email Address Removal: management of bounced mail, automatic check and removal of double emails (both during the sending and the import operation), possibility to filter emails with a non-valid format (e.g. without “@”).
E-mail check Automatic verification of e-mail addresses accuracy, through checks during which the system automatically processes the e-mail lists. After connecting to the destination servers it verifies the existence of the email. The system then displays non-existent or incorrect emails, in order to proceed to an examination or to a manual correction.
Keyword filter on the e-mail list, to quickly search for a contact.
Permission marketing procedure: the system allows automatic sending of HTML or txt messages with an opt-in feature, shown by clicking on a dynamic link. Only consenting users are thus registered in the database for future sending actions.
Full compliance with existing regulations on privacy.
Automatic Unsubscription features: single opt-out (only one click) or double opt-out (an unsubscription confirmation is required the after first click).
MESSAGE MANAGEMENT
Sent Newsletters are automatically archived and published on line.
Preset Graphic Templates management (Christmas sample, product launch, offer, birthday…) available through the web. At start-up the system provides four default standard templates.
Users can sent HTML email messages (with graphics and images).

Web Newsletter Editing: it provides a graphic WYSIWYG (WhatYouSeeIsWhatYouGet) interface and preset templates selection, editing and set via web.

Direct HTML front end code editing.
Writing interface solution by Word, with table management, image loading, link, colours etc.
Dynamic subscription or unsubscription links can be inserted into any text or image.
You can copy and paste from MS Word, with automatic Microsoft standard non-html tag cleaning.

You can copy and paste web pages and send them as newsletter: images will automatically adopt the “http:// “ tag and will not be attached to the message.

Easy copy and paste of Word documents, with automatic upload of images and fully viewable ActiveX option.
The images included in the newsletters can be placed on MailUp’s server or on external servers. The images uploaded on MailUp can be organized in folders.
Embedded Images are automatically viewed in the text, thus allowing the user’s to view images even when MS Outlook 2003 doesn’t automatically download them.

You can customise Automatic HTML Opt-in and Opt-out messages from a web backend console.
Dynamic Tags (first name, last name, address, etc…) can be inserted from personal data fields into messages: this feature makes your communication fully customised. Tags can be inserted both in the text body and in the message subject. There is also a default values table, where it is possible to insert whatever value should be used  when fields in the user’s database are empty.
Send Multipart messages, with a txt/html double version in the same message: this feature is available on demand. The customer will have to compose the newsletter in the two different versions. Otherwise it is possible to register user’s preferences in the database and manually send the two messages.
Dynamic Selection of Charset coding, to assure the compatibility among all languages: UTF-8, UTF-7, ANSI - Central Europe ANSI - Cyrillic Latin I ANSI - Greek ANSI - Turkish ANSI - Hebrew ANSI - Arabic ANSI - Baltic ANSI - Vietnamese ISO-8859-1, Latin I ISO-8859-2, Central Europe ISO-8859-3, Latin 3 ISO-8859-4, Baltic ISO-8859-5, Cyrillic ISO-8859-6, Arabic ISO-8859-7, Greek ISO-8859-8, Hebrew ISO-8859-9, Latin 5 ISO-8859-15, Latin 9 cp866 - Russian DOS, koi8-r - Russian, koi8-u - Ukrainian, Japanese Windows, Korean EUC - Korean, Traditional Chinese Windows Simplified, Chinese Simplified, Chinese HZ EUC - Japanese. It is possible to create a link in order to visualize online the message of the email. The online version is created automatically from MailUp, and keeps all the tracking codes (number of clicks) and the possibility to unsubscribe.

Four graphic newsletter models are available for free, already optimized for all kind of mail clients. To personalize them the user simply has to modify the images and the text. These two templates are included:

- Model for portal news and communication
- Model for promotion of a product

E-MAILING MANAGEMENT
Management of returned emails, with the possibility to remove wrong emails (optional).
Check and automatic removal of double emails both when importing addresses and when sending emails.
It is possible to use the form non valid filter for emails (e.g. without the “@”).
Queue management: start, stop, delete address already in queue, view in real time, email not sent yet, check queue duplicates.
A safe sending procedure, in order to avoid mistakes: users visualize before sending the  recipient list, and  their number and the hours it will take for all of the recipients to receive the email.

It is possible to choose a setup like “RECIPIENT NAME”, talking from the personal data the fields [first name] and [last name].

Band management: emails will be sent separately to every address (filed A), but for outgoing messages we use the internet band of our server, not the band of the client which sends the message.  Our band is regulated by a service contract (SLA) which guarantees certain and measurable sending time.
It is possible to specify the sender’s name and address. E.g. the sender will appear as: “ Company XYZ - News Service <pressagency@companyxyz.com> “
It is possible to schedule when the emails will be sent, by setting day and time for automatic newsletter sending.

Users can set different senders for each communication sent.

Log of all activities done by system administrator and error log.
Anti-Spam guarantee. Our servers and our IP are excluded from any anti-spamming blacklisted. In case the system blocked by mistake, the emergency system automatically changes the server used to send the emails.
No limits nor costs tied to the size of emails.
No limits nor costs tied to the numbers of emails.
No limits nor costs tied to the frequency of sent emails.
No limits nor costs tied to the number of email addresses in database.
Reliable sending system: when having problems contacting the recipient’s server MailUp retries for two consecutive days before alerting the sender of the mistake.

Check for duplicates both in queue and in database: in no case is the same message sent twice to the same address. This is ensured both by automatic alarm procedures and by manual activation.

The Note Field is associated to the single newsletter, in order to:

  1. identify each newsletter in the archive
  2. elect an option during the sending process
  3. opt for update, following to remarks and comments.
It is possible to create new user groups based on multiple conditions set on the fields of the data on the users in the database.

ending Filter: a user can send messages targeted to a specific group inside the database. E.g. it is possible to send a message to all males, 18 to 30 years old, who live in Los Angeles. Every filter can be created on all fields of the database at the same time. Once created the filter can be saved.

Stop&Go feature: once the message is launched, it is possible to interrupt the actual sending and newly edit the newsletter contents. The queue can be restarted afterwards: all messages that haven’t left the server yet will include the new contents. Double email will not be sent at any time or circumstance.

Through Multichannel Integration, it is possible to (not yet available in the U.S.):

a. Send Faxes, using all the functions already available for emails (e.g. Message Archive, Message Customisation, Sending Filter, Personal Data, User Groups, Import/Export, Statistics, etc.);

b. Send messages via SMS :  once again, all features already available for email (see above) are fully functional and in our offer;

c. We predict the system will evolve with MMS support, logo, telephone bell, 3G videos.
MESSAGE STATISTICS AND REPORTS

Complete Reports are available for every project, both graphically and in tables.
The statistic reports summarise all the sent communications, for each user or for each message. It is possible to find:

  • number of emails sent per date/hour/minute;
  • number of subscribers for each newsletter;
  • number of unsubscribers for each newsletter;
  • number of opened emails in real time;
  • link tracking: number of clicks for every link on the message;
  • list of users which have clicked on a link;
  • list of users that have opened the message;
  • number of readings for each user;
  • percentage index un number of received emails, returned emails, clicked emails, read emails..
  • number of users that had problems visualizing the message;
  • number of “hidden” readers (that have read and clicked on a message without downloading the images;
  • click-to-open rate (CTOR): the index of the clicks (CTR – click-through rate) applied to unique readers (that have seen the message at least once). This index is particularly significant since it allows to verify the effective interest towards a message;
  • in MailUp the number of unique readers and the number of openings are separate, just as the number of unique clicks and number of clicks.
Statistical Reports consist of overall reports on all sent communications, both related to a single user/group, and to single/set of communication or a set of them. Statistics and graphics are produced for each communication, for newsletter, for single user, for different temporal horizons (minutes, hours, days, months). Everything is delivered in real time.
User Report, to know which and how many newsletters were read by each single address and how many clicks were generated (in real time).
Three Benchmark of Quality indexes, accurately created to allow to evaluate and compare results of different communications.
Click Tracking: it monitors which links were clicked and what topics/offers were preferred (in real time). It is also possible to extract the list of users who clicked on each single link, whether this link was included in a single newsletter or regularly posted in all newsletters. Statistics can be exported in printable format, or to Excel.
It is possible to visualize statistics based on the FILTERS the user created. E.g., it is possible to know what percentage of men clicked on the message, or for date of birth, location (depending on what data is on the database). This feature is included in the ADVANCED FILTERS.
It is possible to group the users per activity (openings, clicks), to export them or to send specific messages.
It is possible to cancel the statistics of emails sent as tests.

It is possible to export all statistics in excel of print them.

BOUNCED MESSAGE MANAGEMENT
MailUp includes an option for automatic bounce management through an advanced component, which can perform an automated intelligent analysis on bounced emails. The system is integrated with DB and user’s personal data. This feature allows to delete useless data: e.g. all the email addresses which recorded 10 consecutive bounces, or which recorded mail undelivered 30 times because of recipient’s mailbox full.
Recognition among over 1600 email bouncing formats. High-level bounce recognition algorithm and multilanguage format library.

Bounced message analysis is performed through a POP account dedicated specifically to bounces: its actions are customisable. This POP account can be set, under customer’s request, as different from sender address or from “reply-to” address.

Recognition of X-Header and Parsing are customisable on request.

This table shows formats of email bounce recognised by the system:

  • Hard Bounce: mail server isn’t able to deliver the message (e.g. 550 mailbox not found)
  • Soft Bounce: mail server isn’t temporary able to deliver the message (ex: mailbox size exceeds quota, host not found)
  • Transient Bounce: mail server isn’t temporary able to deliver the message, but a further attempt is still in course (e.g. Warning: message still undelivered after 4 hours. Will keep trying until message is 2 days old)
  • Mail Block: the destination server is blocking the messages coming from sending server (e.g. 554 client host rejected)
  • Subscribe: someone requested via mail to be included in opt-in list.
  • Unsubscribe/Remove: the addressee has requested to be removed from any future communication.
  • Auto-reply: an automatic reply has been generated by the addressee (e.g.: Out Of Office, Annual Leave Message).
  • Challenge-Response: Email Challenge-Response systems have been created to contrast the increase of spamming into circulation.
    Systems like Challenge-Response, EarthLink SpamBlocker and SpamArrest, are requesting further and subsequent intervention by an operator in order to deliver the message. Briefly, a Challenge-Response message is an automatic reply from the addressee, to verify that the sender is a real person and not an automatic system. Usually, such verification is manually operated, by clicking on a link included in the Challenge-Response mail.
It is possible to receive a copy of every bounce processed on a mailbox indicated by the customer.
Periodical cleaning of user list, done by MailUp specialists, with a preview of contacts to remove. The cleaning is done after sending at least five communications: it removes exclusively all incorrect emails and mailboxes always full. Cleaning parameters are fixed in advance with the customer, who can verify in beforehand any removal operations.
INTEGRATIONS AND APIs
It is possible to integrate external databases (MySql, MS SQL Server etc) and to interface with applications on different servers (Php, Asp.NET..).
Subscription Box integration is available in website home page, with automatic generation of html code - freely customizable - to insert in any of your pages. The code includes subscription group definition and the script to verify the correct format of the email.
The system allows Multilanguage newsletter management (in languages settable anytime via the web), with notifications and messages in the set language.
Multiple lists: it can be used independently for various and different companies/portals/services, with completely independent addresses, senders, statistics, databases and archives.
Third level domain service is included for free. If you can point a C-level domain to our system (e.g. newsletters.YourWebSite.com) then in all communications/links the name of our servers will never be visible: everything will be in the client’s name e.g. newsletter.company123.com.
It is possible to customise an administration backend web console, if the service is resold to a third party (see RESELL).
Customisation of user interface is available on request.
It is possible to import email addresses from legacy systems (operational AS/400, Outlook, Excel etc) included in the initial set-up. At any moment it will be possible to import and export additional lists in autonomy via the web and in different formats.
Multi-Administrator management, with different access levels (access only valid for sending messages, or only for statistics analysis, or only for editing etc.) is also available on request.
Export Statistic Log files through batch procedures to integrate them in other systems (estimate made on the basis of specific requests).
Sending Servers work on different ISP networks.
It is possible to edit administrator access data from the backend web.

System Requirements: browser MS Internet Explorer 5.0 or higher, browser Firefox 2.0 or higher. On Macintosh Mac OS X is required. It is possible to use a browser like Opera on wireless devices such as PDA’s or Smartphones, remembering that the editing on wireless devices can be different.

It is possible to export through batch procedures the files of the statistic logs, in order to integrate them to other systems (estimate available on request).
Newsletter Graphic Layouts can be created following design requirements and can be optimised to have the best visualization on the main electronic post clients. The design will be based on the logo and on the graphic guidelines provided by the Client, in order to be coherent with the existing corporate communication.  This design option is available on request: it includes three graphic proposals, free customisation of the dialogue web page and of all the messages by graphic web editor (e.g.: user already subscribed, email correctly removed, subscription successfully completed, etc.).
The structure of the user’s personal data can be completely personalized. All the fields can be dynamic (be substituted by dynamic TAGs in the sent message).
It is possible to personalize freely all dialog web pages and all messages through the web graphic editor (e.g. “user already registered”, “email remove correctly”..)
Ready-to-use newsletter registration buttons and forms (“Register to the newsletter”) to attach on the web site. The buttons are connected to registration forms which are ready and active on MailUp. It is also possible to use the HTML codes of these forms to modify them freely and insert them in sites / third party applications.
It is possible to create messages automatically (using contents from other sites) and send them automatically – on request.

Multilanguage – Multilist - Multisite dialogue web pages (e.g. English subscribers will read the messages in English, French or French Canadians subscribers will read message in French, etc.). Where lists are related to different websites, each dialogue page will be coherent with the graphics of the related site. These form can be deactivated by the administration console.

Data Backup: it’s a periodic saving of files of the web site, in order to constantly save valuable information in digital format in the event that the data was lost or cancelled. Two Backup copies are held at in two different locations: if anything happens in one building (e.g. fire), the data can be recovered from the archive set in the other building.
Help desk: technical and commercial specialists are always available at business hours (by phone or e-mail) to help customers and to answer any type of request.
24/7 monitoring: servers have 24/7 alarm systems, connected to our technicians’ mobile phones and can signal in real time any problem. Machines are checked every 60 seconds. System allows information available to technical specialists at any time (365 days). During non-business hours, specialists’ intervention is set within an hour from first alarm.
Software updates: constant updating on operating system and on servers’ software.
Raid 1 (disk mirroring): the servers, where the service resides, have one double hard disk each. If one went out of order, then the other (which is the exact copy of first hard disk) would be operative at once.
Power Supply Units: they allow each server to work continuously, even in the eventuality of major electricity black outs.
Server farm: the machines and physically located at the AEMcom server farm (ISP that has created the MAN coverage in the Cremona province). AEMcom guarantees that it’s rooms are protected by conditions of maximum security (fire alarm devices, anti-flooding devices, air conditioning, uninterrupted power supply, check and control of all accesses...). The connectivity is directed towards the MIX of Milan and is redounded through a second carrier, in order to guarantee maximum continuity of service. NWeb has access 24/7 to the server farm and is connected to it from it’s offices with optic fibre.

Network Firewall: it is a great server protection, which definitively forbids access from outside through any system’s gates.

User Check: we adopt all technologies to prevent an external user from entering the system (e.g.: password length and management). Only the administrator can operate at 360° on the server.
Breakdown: our technical specialists will do a first level intervention in case any server hardware breakdown may occur.
Service Level Agreement: NWeb reserves the Client the bandwidth necessary for his communications to reach destination, within the established time frame. Our Client can verify online in any given moment the progress of his sent emails and its compliance with time parameters he has set. Messages are sent by MailUp Servers: no software installation will ever be required and neither will the presence at a pc post. Any graphic or image content will not affect the pre-determined bandwidth or the sending time, as set in the Service Agreement.
